Bespoke Digital Waste Tracking Software for UK Waste Businesses
Our digital waste tracking software is built bespoke for each business, so it fits the way you already work instead of forcing you into an off-the-shelf system. Every app connects directly to Defra's Receipt of Waste API, creates digital waste transfer notes on the spot, and doubles as your CRM, route planner, driver app and compliance record, making staying legal the easy part of your day.
Who must comply, and when?
Do you receive waste under a permit or licence?
Do you carry, broker or deal in waste?
Where do you operate?
Digital Waste Tracking Software Built Around Your Business
Most waste software is built for everyone and fits no one properly. We do it the other way round. We build your digital waste tracking software bespoke, around the jobs you already do, the paperwork you already fill in and the way your office and drivers actually work.
That means no paying for features you don't use, no bending your process to fit someone else's screens, and no re-training your team on a generic system. Your bespoke app covers digital waste transfer notes, CRM, route planning, driver tools and Defra reporting, built as one connected system rather than bolted-together add-ons.
It's built for every waste sector, from skip hire to scrap metal to used cooking oil collection, and it grows with you: start with the compliance basics and add CRM, routing and driver tracking when you're ready.
Stay Legal Without the Paperwork: Defra Compliance Made Easy
Digital waste tracking is becoming mandatory in phases. Phase 1 applies from 1 October 2026 for licensed and permitted waste receiving sites in England and Wales, and from 1 January 2027 in Scotland and Northern Ireland. Phase 2, covering waste carriers, brokers and dealers, is planned for October 2027, with a public beta in spring 2027.
Once you're in scope, every load you receive needs to be reported within 2 working days, excluding weekends and bank holidays. Our app connects directly to Defra's Receipt of Waste API, so the record is created the moment the job is signed off, with no separate admin task to remember.
Existing waste transfer notes and returns still apply alongside digital waste tracking, so your app produces both: the controlled waste record you've always needed, plus the Defra submission, from the same piece of work. EWC codes are checked as you go, so you're not guessing at classification on the yard.
One App for Everything: CRM, Planning, Drivers and Compliance
Instead of a compliance tool plus a separate CRM plus a separate routing app, you get one system. Customer records, job history and contact details sit in the same place as route planning, dispatch and your digital waste transfer notes.
Route planning builds multi-drop rounds from your customer list or overdue jobs, respects opening times, and flags when a van is over capacity before it leaves the yard. The driver app works on a phone, captures photos, weights and signatures, and queues everything for sync if there's no signal.
You can run unlimited drivers and vehicles, add office staff with their own logins, and see live positions and job status without ringing round for updates. Everything feeds the same compliance record, so nothing gets entered twice.
Who We Build For: Every Waste Sector, Every Size
We work with businesses across the waste industry: skip hire, scrap metal, house clearance, waste transfer stations, waste carriers of every size, and specialist collections like used cooking oil. Every app is built for how that sector actually operates, not a generic template with the logo swapped.
Small operators get the most from going digital. If you're running one or two vans on paper, digital waste tracking software removes the double-handling of job sheets, manual EWC lookups and chasing missing signatures, without forcing you into software built for a 200-vehicle fleet.
Larger operators and multi-site businesses get the structure they need: role-based logins, site-level reporting, and a system that scales as you add vehicles, drivers or depots.
How It Works: From Paper to Digital in Four Steps
Moving off paper or spreadsheets doesn't need to be disruptive. See our how it works page for the full detail, but in short it runs in four steps: we map your current process, we build and configure the bespoke app around it, we connect it to Defra's API and test it on real jobs, then we train your office and drivers and go live.
We set everything up for you, including your Defra account connection, and provide training so your team is confident from day one, not left to work it out from a manual.
Case Study: A Waste Oil Collection App in Daily Use
One example of what a bespoke app looks like in practice is our waste oil collection app, built for a UK used cooking oil collector servicing more than 4,400 commercial accounts across restaurants, takeaways, pubs and food factories.
It runs their CRM, optimises collection routes, manages dispatch and driver hours, captures proof of collection on a driver app, and reports every load to Defra for EWC 20 01 25 automatically, alongside ISCC mass balance records.
Phase 1 Is Live. Phase 2 Is Coming. Are You Ready?
If you run a licensed or permitted waste receiving site, Phase 1 already applies to you from 1 October 2026 in England and Wales, or 1 January 2027 in Scotland and Northern Ireland. If you're a waste carrier, broker or dealer, you have until the planned Phase 2 date of October 2027, but the private beta opens from autumn 2026, so it's worth getting ready early.
There's also a £26 per year government fee per organisation, covering all its sites, with first payment due by 31 January 2027. That's a Defra fee, separate from anything we charge for software.
The sooner your records are digital, the less disruptive the deadline will feel. Book a free demo to see how a bespoke app would work for your business, or check your readiness now.
