Digital Waste Tracking for Small Waste Carriers

Digital waste tracking for small waste carriers is easier than it sounds when the app does the work for you. If you're a one- or two-van operation on paper, Phase 2 is your deadline (October 2027) and the Defra spreadsheet is only a stop-gap. We build a bespoke app around how your business runs, so every load is captured once, every waste transfer note is digital and every record reaches Defra on time.

How Digital waste tracking for small waste carriers Works

Digital waste tracking for small waste carriers works the same way as it does for larger operators: every load you carry gets logged with an EWC code, weight and destination, a digital waste transfer note is created, and the record is sent to Defra via the Receipt of Waste API. The difference for a small carrier is how much simpler that logging should be.

If you're a sole trader or a man-and-van operation, you don't need a system built for a 50-vehicle fleet. A bespoke app can be scaled right down to just the fields you need, run from a phone, and still meet the same compliance standard as anyone else's.

When Small Waste Carriers Must Comply

Waste carriers, brokers and dealers fall under Phase 2 of digital waste tracking, planned for October 2027, with a public beta from spring 2027 and a private beta opening from autumn 2026. Phase 1, which started 1 October 2026 in England and Wales and 1 January 2027 in Scotland and Northern Ireland, applies to licensed and permitted waste receiving sites rather than carriers.

That gives small carriers some lead time, but the Defra spreadsheet route is described as temporary and expected to remain available only until at least October 2027. Getting your records digital before the deadline, rather than racing to meet it, avoids a scramble later.

What You'll Need to Record

For every load of controlled waste you carry, you'll need the waste description and EWC code, the weight or quantity, where it came from, where it's going, and the date and time of the movement. Once you're reporting under digital waste tracking, this same information forms your Defra submission within 2 working days of the waste being received at the other end.

Existing waste transfer notes continue to be required alongside digital waste tracking, so your records need to satisfy both duty of care and the new digital reporting requirement.

A Bespoke App Built Around Your Operation

We build the app around how you actually work: one van or ten, paper job sheets or a spreadsheet route, regular customers or ad hoc jobs. For a small carrier that might mean a simple phone-based app for logging each job, capturing a signature and generating the waste transfer note on the spot, with the Defra submission handled automatically behind the scenes.

It's genuinely affordable for a small operation, because you're not paying for CRM, multi-driver dispatch or fleet-scale features you don't need, though you can add them later if the business grows.

From Paper or Spreadsheet to Digital

Moving off paper or a spreadsheet route doesn't need a big IT project. We map what you're currently recording, build the app around those same fields, and train you and anyone else in the business to use it. Most small carriers are up and running within a short timeframe, not months.
