Digital Waste Tracking Software Providers Compared

Digital waste tracking software providers fall into four broad camps: low-cost self-serve compliance apps, weighbridge and site systems, large enterprise platforms and bespoke builders like us. This guide explains what each offers, who it suits and how to check a provider can actually submit to Defra.

Types of Digital Waste Tracking Software Providers

Since digital waste tracking was announced, dozens of software providers have appeared, and more are joining Defra's list of compatible software every month. They're not all trying to do the same job. Broadly, digital waste tracking software providers fall into four types:

  1. 01

    Self-serve compliance apps.

Low monthly subscriptions focused on getting loads to Defra.

  2. 02

    Weighbridge and site systems.

Built around the gate and the weighbridge ticket.

  3. 03

    Enterprise waste platforms.

Large systems for major operators and councils.

  4. 04

    Bespoke app builders.

Software built around a specific business, like us.

None is right for everyone. The best fit depends on what you do, how big you are and how much of your business you want the software to run.

Self-Serve Compliance Apps

Self-serve apps are the quickest and cheapest way to start reporting. You sign up online, often with a free trial, enter your loads or upload a spreadsheet, and the app submits to Defra.

Good for: single sites or small operators who mainly need to tick the compliance box and are happy to fit around a standard product.

Watch out for: per-site or per-user pricing that adds up as you grow, limited support for your other paperwork, and having to keep separate systems for customers, routes and drivers.

Weighbridge and Site Systems

Weighbridge suppliers and site software providers are adding digital waste tracking to systems that already capture weighbridge tickets.

Good for: larger receiving sites where everything already flows through the weighbridge.

Watch out for: they're usually built around the site, not the vehicles going out. If you also run collections, you may still need separate software for customers, routes and drivers.

Enterprise Waste Platforms

Large platforms cover everything from contracts and billing to fleet and compliance for major waste companies and councils.

Good for: big, multi-depot operators with in-house IT teams and the budget for long implementations.

Watch out for: high costs, long set-up times and a lot of configuration. For small and medium businesses they can be more than you need, and still not quite how you work.

Bespoke App Builders

Bespoke builders create software around your specific operation. Instead of adapting your business to the software, the software is shaped around your job types, paperwork, pricing and compliance.

Good for: businesses that want one system for compliance and running the business: CRM, route planning, dispatch, driver app, live tracking, digital waste transfer notes and Defra reporting, without paying for features they'll never use. It's also a strong fit for paper-based carriers who want to digitise everything at once ahead of Phase 2.

Watch out for: a higher upfront cost than a basic subscription. A good bespoke builder will reuse proven components so delivery is quick and costs stay sensible, and will be honest if an off-the-shelf product would do the job for you.

How to Check a Provider Is Compatible

Whatever type of provider you choose, check these before you sign:

Is it on GOV.UK's list?

Defra publishes a list of compatible software providers. Being listed shows the provider has engaged with Defra's integration process.

Can it submit by API?

The spreadsheet route is temporary, expected only until at least October 2027.

Does it handle your waste?

Hazardous waste, POPs, multiple EWC codes per load, and disposal and recovery codes.

Does it track the deadline?

Including bank holidays in your nation.

What happens when Defra rejects a record?

You need clear error messages and an easy way to fix and resend.

Who owns your data?

Make sure you can export it.

Which Type Fits Your Business?

As a rough guide:

Single receiving site, small volumes, happy to work around software:

a self-serve compliance app may be enough.

Weighbridge-led site with no collections:

look at weighbridge and site systems.

Large multi-depot operator with an IT team:

consider an enterprise platform.

Collection business, mixed operation, or paper-based and wanting everything digital:

a bespoke app will usually save the most time and money over the long run.
