What the Best Digital Waste Tracking Software Must Do

The best digital waste tracking software is the one that fits how your business actually works, sends records to Defra's Receipt of Waste API without retyping, and is simple enough for every driver to use on a busy round.

At minimum, it needs to capture EWC codes, weights, carrier and vehicle details, and R or D codes at the point of collection, generate digital waste transfer notes, and submit reports within the 2 working day deadline, excluding weekends and bank holidays, that applies from the day after waste is received.

Bespoke vs Off-the-Shelf

Off-the-shelf software is quick to sign up to and cheap at first glance, but it's built for the average business, not yours, which often means workarounds for anything slightly different about how you operate.

Bespoke software costs more upfront because it's built around your specific collection rounds, waste streams and existing processes, but it avoids the ongoing cost of working around features that don't quite fit, and it scales without per-driver licence fees as you add vans or sites. Which is right depends on how standard your operation is and how much you value a system built around how you actually work, rather than the other way round.

Defra's List of Compatible Providers

Defra maintains official guidance on choosing a software provider for reporting receipt of waste, and providers should connect to the Receipt of Waste API rather than claiming to be 'Defra approved', 'certified' or 'endorsed', which Defra doesn't issue.

Check any provider's claims carefully. A provider should be able to explain clearly how their system connects to the API, what happens if the connection is down, and how they handle the move from Defra's temporary spreadsheet route, which is expected to remain available until at least October 2027.

Features That Save the Most Time

The features that save the most admin time are usually the ones that remove re-keying: automatic digital waste transfer notes, a driver app that captures data once in the field, and a CRM that links collection history, overdue accounts and compliance records in one place.

Route planning and live driver tracking help on the operational side, but the compliance time savings come from not having to manually cross-check a paper note against a spreadsheet against a reporting portal every single week.

Questions to Ask Any Provider

Ask how the software connects to the Receipt of Waste API, what happens during an outage, how EWC codes and R/D codes are kept up to date against the List of Wastes, and whether there are per-driver or per-user fees as you grow.

Also ask how long implementation and training take, whether your existing customer and job data can be imported, and what ongoing support looks like once you're live. A provider that can't answer these clearly is worth being cautious about, whatever the up-front price looks like.

Total Cost of Ownership

The subscription or build price is only part of the cost. Factor in the £26 a year government fee per organisation, which is separate from any software cost and covers all your sites, plus implementation time, training, and any per-user charges that scale with your fleet.

Software is typically quoted per business rather than at a fixed public price, because the right fit depends on fleet size, number of sites and which modules you need.
