Digital Waste Tracking for Waste Transfer Stations
Digital waste tracking for waste transfer stations is easier than it sounds when the app does the work for you. Transfer stations are permitted receiving sites, so Phase 1 applies now to every load you take in, and Phase 2 will cover the onward loads you haul. We build a bespoke app around how your business runs, so every load is captured once, every waste transfer note is digital and every record reaches Defra on time.
How Digital waste tracking for waste transfer stations Works
Digital waste tracking for waste transfer stations works by capturing every load as it crosses the weighbridge and reporting it to Defra automatically. As a permitted receiving site, your station is in scope for Phase 1, which means each load received needs recording and submitting via the Receipt of Waste API within the reporting deadline.
Rather than bolt on another system, we build the recording step into your existing pre-acceptance and weighbridge process, so staff capture EWC codes, quantities and onward movement once, and the record flows straight through to your Defra reporting and your waste transfer note.
When Waste Transfer Stations Must Comply
Waste transfer stations with a permit in England and Wales fall under Phase 1, which became mandatory on 1 October 2026. Equivalent sites in Scotland and Northern Ireland follow from 1 January 2027, regulated by SEPA and DAERA/NIEA respectively. If your station also carries waste onward as a registered carrier, Phase 2 will apply to that side of the business from October 2027, following a public beta in spring 2027.
The Environment Agency regulates sites in England, with Natural Resources Wales covering Wales. Either way, reports must be submitted within 2 working days of receipt, excluding weekends and bank holidays.
What You'll Need to Record
For every load you take in, you'll need to record the EWC code, the quantity received, where it came from, and what happens to it: bulking for onward movement, or rejection at pre-acceptance. The table below gives example EWC codes seen at transfer stations; always confirm the correct code against the current List of Wastes before using it.
| EWC Code | Description |
|---|---|
| 20 03 01 | Mixed municipal waste |
| 17 09 04 | Mixed construction and demolition waste |
| 15 01 06 | Mixed packaging |
A Bespoke App Built Around Your Operation
No two transfer stations run the same way. We build the app around your weighbridge, your pre-acceptance checks and how you handle rejected loads, rather than asking you to change your process to fit the software. Staff enter data once at the point of weighing, and it's used for the waste transfer note, your internal records and your Defra submission.
From Paper or Spreadsheet to Digital
If you're currently logging loads on paper or in the Defra spreadsheet route, moving to a connected system removes the manual re-entry and the risk of missing the reporting window. We set the system up for you and train weighbridge and office staff before go-live, so the switch doesn't disrupt day-to-day intake.
