Bespoke Waste Broker Software with Digital Waste Tracking
Waste broker software is easier than it sounds when the app does the work for you. Brokers and dealers are planned for Phase 2 from October 2027, so now is the time to get movements, carriers and receivers recorded digitally. We build a bespoke app around how your business runs, so every load is captured once, every waste transfer note is digital and every record reaches Defra on time.
How Waste Broker Software Works
Brokers and dealers sit in the middle of the waste chain. You arrange collections and disposal for clients without necessarily touching the waste yourself, often using a network of subcontract hauliers and receiving sites. That makes your records more complicated, not less: you need to know who produced the waste, who carried it, where it went and what happened to it, for every job you arrange.
Good waste broker software brings all of that together. Each job links the producer, the haulier, the receiving site and the paperwork, with every party's registration and permit checked. When digital waste tracking extends to brokers and dealers, the information you need is already in one place, structured and ready to report.
When Waste Brokers and Dealers Must Comply
Waste brokers and dealers aren't in Phase 1 of digital waste tracking, which covers permitted receiving sites. Defra plans to bring carriers, brokers and dealers into Phase 2, with a private beta from autumn 2026, a public beta in spring 2027 and the service planned to become mandatory from October 2027.
The sites you send waste to are already reporting every load they receive. That means regulators can already see which brokers are linked to which movements, and inconsistencies between your paperwork and the receiving site's records are easier to spot. Getting your records digital now protects you before Phase 2 begins.
What You'll Need to Record
While Defra will confirm exact Phase 2 requirements, brokers and dealers should expect to need, for each movement:
The producer
and where the waste was collected from
The carrier
and their registration number
The receiving site
and its permit
Waste descriptions and EWC codes
including hazardous details where relevant
Quantities
actual or estimated
Disposal or recovery routes
Dates
of collection and delivery
You'll also still need your duty of care paperwork, such as waste transfer notes and consignment notes.
A Bespoke App Built Around Your Operation
Every brokerage works differently. Some arrange one-off clearances, others manage national contracts with hundreds of sites. We build broker software around how you operate:
Client and site records
with contracts, waste streams and collection schedules
Haulier network management
with registrations, rates and coverage areas
Job allocation
to the right haulier, with automatic confirmation
[Haulier access links](/features/haulier-and-supplier-access/)
so subcontractors confirm collections, weights and photos from their phones
Licence and permit checks
before a job is booked
Rebates and recharges
invoicing clients and reconciling haulier bills
Digital waste tracking readiness
with every movement structured for reporting
From Paper or Spreadsheet to Digital
Many brokers still manage jobs with spreadsheets, email chains and phone calls to hauliers. It works until it doesn't: a haulier forgets to send a ticket, a site's permit lapses, or a client asks for a year's worth of disposal evidence.
We move your existing clients, sites and hauliers into the new system, set up your job types and train your team. You can start with the core job and compliance workflow and add invoicing, client portals and reporting as you go.
